We are seeking a Project Administrative Assistant to assist one of our clients in the construction industry. This role is ideal for a detail-oriented individual with strong organizational skills and a passion for supporting construction project teams.


Job Summary: Our client is looking for a proactive and organized Project Administrative Assistant to manage project documentation, coordinate schedules, and support material procurement. This position requires excellent communication skills and a customer service-oriented approach to work. Prior experience in construction or a related industry is preferred.


Key Responsibilities:

  • Project Documentation: Assist in preparing, distributing, and organizing project documentation.
  • Correspondence: Handle communication with builders, subcontractors, homeowners, and suppliers via email and phone.
  • Scheduling: Coordinate project schedules, appointments, and keep the project team informed of any updates.
  • Data Entry: Accurately enter project data into software systems and maintain organized project files.
  • Material Procurement: Support procurement processes by preparing purchase orders, tracking deliveries, and maintaining supplier communication.
  • Office Management: Perform general office tasks, including answering phones, filing, and managing office supplies.

Qualifications:

  • Communication Skills: Excellent verbal and written communication skills for professional interactions with clients, subcontractors, and team members.
  • Organizational Skills: Strong organizational and time management abilities, with a focus on prioritizing tasks effectively.
  • Attention to Detail: Exceptional accuracy and attention to detail in all aspects of work.
  • Teamwork: Ability to work collaboratively as part of a team and contribute to a positive work environment.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience: Minimum of 3 years in a customer service or administrative role, preferably within the construction industry.
