Job description

Key Responsibilities
-Optimize the Managing Director’s schedule by anticipating and resolving conflicts, while aligning appointments with priorities.
Provide detailed briefings, agendas, and relevant background information for meetings.
-Organize agendas, presentations, and materials for meetings; attend meetings, take minutes, and follow up on action items.
-Plan complex travel itineraries, manage travel-related expenses, and ensure proper documentation.
-Draft and review communications, screen calls, and handle internal and external correspondence.
-Serve as a liaison between the Managing Director and the team to ensure smooth communication.
-Convey the Managing Director’s plans, messages, and objectives to the team
-Manage office supplies, rentals, utilities, memberships, insurance, and vendor coordination.
-Assist the team with project timesheet management and track project deadlines.
-Maintain and update company information databases and records in compliance with company policies.

-Handle event logistics, from venue selection to managing guest invitations.

Qualifications:

Minimum of 3-5 years in an executive assistant or office management role.

Exceptional written and verbal communication skills.

Strong organizational and time management skills, with the ability to prioritize tasks effectively and work independently.

Proficiency in office software and Google services, including word processing, spreadsheets, and presentation tools.

Demonstrates a keen eye for detail and strong problem-solving abilities.

Eager to learn about new technologies, tools, and systems, and introduce them to the team.
